What Firmitek collects when you visit our sites, write to us, try the demo or buy Chemistbook, why, and what you can ask us to do about it.

This policy explains what personal information Firmitek collects, why, how long we keep it, and what you can ask us to do about it. It follows Ghana's Data Protection Act, 2012 (Act 843).

Who we are

Firmitek is the trading name of Kwaku Ampem Affram, a sole trader in Accra, Ghana, who decides how the information described here is used and is responsible for it. You can reach us at affram.dev@gmail.com or on WhatsApp at +233 50 659 0716.

What this policy covers

This site, the Chemistbook site and the Chemistbook demo, and anything you send us or buy from us. It does not cover the records a shop keeps in its own copy of Chemistbook, which are the shop's: see Chemistbook in your shop.

In short

  • Our sites have no analytics, no advertising and no tracking cookies.
  • The contact form on this site sends nothing to us. It opens your own email or WhatsApp app with your message filled in.
  • We collect only what you send us, what a sale needs, and the logs a web server keeps.
  • We send marketing only to people who have agreed to it in writing beforehand.
  • We never sell personal information, and share it only with the services named below.

What we collect, and why

When you visit our sites

Our web servers log each request: your IP address, the page asked for, the time, the page you came from, and your browser's description of itself. We use these logs only to keep the sites running and to look into faults and attacks, never to identify or follow visitors, and we delete them after 30 days.

Your browser also keeps two things for our sites, neither of them about you: your choice of light or dark display, if you change it, and a copy of the sites' own pages, so that moving between them is quick.

When you write to us

If you email or message us, we receive your name, your email address or phone number, and what you write. We use them to reply and, if you buy Chemistbook, to supply it. Email to us is handled by Google (Gmail), and WhatsApp messages by WhatsApp (Meta), under their own privacy policies.

We keep a conversation while it is useful to you and to us, and delete it when you ask, unless we must keep it because it records a sale.

When you try the demo

The demo is a shared sample shop. Signing in sets a cookie that keeps you signed in and a security token, both of which the demo needs to work. While you use it, the demo records your sign-in and what you do, with your IP address and browser, in its audit trail: showing that record is part of what the demo is for.

The demo is reset to its sample data from time to time, which deletes everything entered into it, that record included. Please do not enter real people's details into it.

When you buy Chemistbook

Payments are taken by Paystack. You enter your card or mobile money details on Paystack's pages, not ours, and we never see your full card number or your PIN. Paystack tells us that you paid, how much and when, with your name, your email address and the payment reference, under Paystack's privacy policy.

We keep the record of a sale for as long as Ghana's tax law requires us to keep business records.

Why we may use it

The Act lets us use personal information with your consent, or without it where the use is needed for a reason the Act accepts. Ours are:

  • what you asked for: replying when you write to us, and quoting for, selling, installing and supporting Chemistbook when you buy it;
  • the law: keeping the record of a sale for tax;
  • keeping our services safe: the server logs and the demo's audit trail, which we need to run the sites and the demo and to protect them.

What you have to give us

Nothing, to read our sites or try the demo. To get a reply, we need a way to reach you. To buy Chemistbook, we need your name, a phone number or email address, and your shop's name: without them we cannot send you a quote, take your payment or install it.

Chemistbook in your shop

Chemistbook runs on your shop's own PC. Its records are stored on that PC and in the backups your shop makes, and nowhere else. Chemistbook sends nothing to us and has no tracking or usage reporting built in, and the day's summary goes out through the email and SMS accounts your shop sets up, not through us.

The personal information in those records is about your staff, their names, sign-in details and what each of them did, with the IP address and browser, and about your suppliers' contact people. Chemistbook records nothing about the customers who buy from your shop: a sale carries no name or number.

Your shop decides how those records are used, so under the Act it is the data controller for them, with its own duties, including registering with the Data Protection Commission. When we install Chemistbook or help with a problem, we may see those records; we then handle them only as your shop authorises, as our terms set out.

Where it is held

Our sites and the demo run on a server rented from Amazon Web Services in the United States, so their logs and the demo's data are held there. Messages are held by Google and WhatsApp, and payment records by Paystack, each in its own systems.

Who we share it with

Only the services named above, for the purposes described: Amazon Web Services for hosting, Google for email, WhatsApp for messages and Paystack for payments. We give personal information to anyone else only when the law requires it.

If something goes wrong

If we find that personal information we hold has been reached or taken by someone not allowed to, we tell the Data Protection Commission and the people affected as soon as we reasonably can, with what we know and what they can do to protect themselves.

Your rights

Under the Data Protection Act, you can ask us:

  • whether we hold personal information about you, what it is, where it came from and who it has been given to;
  • to correct it, or to delete it if it is wrong, out of date, or no longer needed;
  • to stop using it, or to stop using it in a particular way;
  • to stop sending you marketing.

Write to affram.dev@gmail.com. We will ask you to show who you are before we act, so that we never hand your information to someone else. We answer a request to stop or change how we use your information within 21 days, and send you a copy of what we hold within 40 days at most. When we correct something, we also tell anyone we had given it to.

If you are not satisfied with our answer, you can complain to the Data Protection Commission of Ghana.

Children

Our sites and Chemistbook are for businesses and adults, and we do not knowingly collect information about children.

Changes to this policy

When this policy changes, the date at the top changes with it.
